We collect information when you:

  • Visit our website.
  • Complete an enquiry or contact form.

4. Purposes and Lawful Bases for Processing

We use personal information to:

  • Respond to enquiries.
  • Prepare quotations.
  • Fulfil orders and service agreements.
  • Process recordings and create agreed deliverables.
  • Communicate with customers.
  • Deliver newsletters and marketing communications where permitted.
  • Provide training and coaching.
  • Maintain financial and business records.
  • Protect our website and prevent misuse.
  • Comply with applicable legal obligations.
  • Address complaints and resolve disputes.

Depending on the activity and applicable law, we may rely on consent, contractual necessity, compliance with legal obligations, or another legally recognised basis, including legitimate interests where permitted and appropriately assessed.

Where GDPR applies, relevant processing purposes and legal bases must be assessed in accordance with Article 6.

We will not use client recordings or personal information for unrelated purposes without a lawful basis.

5. Website Hosting and Security

Our website is hosted through D9.

Our hosting infrastructure may process technical information necessary to operate and protect the website, including IP addresses, server requests and security logs.

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse and unlawful disclosure.

These safeguards may include restricted account access, appropriate authentication, software maintenance, secure connections and reasonable access controls.

No online system can guarantee absolute security.

The retention of hosting logs and any hosting-related international processing will be governed by the actual hosting arrangements and applicable law.

6. Client Enquiries

When you complete our Recording to Ready-to-Use Content enquiry form, we collect the contact and project details necessary to respond.

Information may include your name, email address, requested service, recording duration, recording type, delivery requirements and project instructions.

Our enquiry system operates through WordPress and may use the website hosting and email delivery infrastructure to process and transmit your request.

Submitting an enquiry does not automatically subscribe you to marketing communications.

We use the information to assess your requirements, provide a quotation and communicate about the requested service.

We ask clients not to include confidential recordings or sensitive personal information directly in an initial enquiry unless specifically agreed.

7. Transcription and Content Repurposing

Sue Neumann Global provides AI-assisted and human-reviewed transcription and content repurposing services.

These may include:

  • Audio and video transcription
  • Transcript formatting and editing
  • Training and lesson summaries
  • Podcast show notes
  • Blog articles and newsletters
  • Social media content
  • Course-support materials
  • Other agreed content deliverables

Local transcription

We currently use Fusion Scribe with a locally installed Whisper speech-recognition model for transcription.

This allows audio processing on a local computer without requiring a paid external transcription API.

Local transcription does not mean every aspect of a project takes place offline. Client file transfers, correspondence, storage and content repurposing may involve external services.

Human review

Transcripts and AI-generated content may contain errors.

The agreed service package determines the level of editing, proofreading, content transformation and quality assurance included.

External AI processing

Additional AI tools may be used to assist with generating summaries, newsletters, articles, show notes and other content packages.

When an external AI service is proposed for confidential client materials, we will disclose the intended use, seek the required client authorisation and establish the applicable lawful basis and safeguards before processing.

Where feasible, unnecessary personal information will be excluded or minimised before external processing.

We will not knowingly publish confidential client materials or use them to train our own publicly available AI models without appropriate permission.

We do not guarantee that external AI providers operate exclusively within South Africa. Any authorised international processing must be assessed against applicable privacy requirements.

Client confidentiality

Client recordings, unpublished materials and project instructions are treated as confidential.

Access is limited to people and service providers who reasonably require it to perform authorised work.

We will not publicly display client materials or identify clients in promotional examples without appropriate permission.

8. Client File Storage and Retention

Client project files are currently intended to be stored in restricted-access Google Drive folders.

This may include:

  • Original recordings
  • Transcripts
  • Reference documents
  • Working content files
  • Final deliverables

Our proposed standard retention period is 30 calendar days following project completion.

Project completion ordinarily means the date on which the agreed final deliverables have been supplied and the project has been marked complete.

During this period, files may be retained for quality assurance, agreed revisions and delivery support.

We intend to implement a documented process for deleting eligible project files after the 30-day period, subject to legal, contractual or other lawful retention requirements.

Until automated deletion has been implemented and verified, deletion will need to be managed through an appropriate manual process.

Moving files into Google Drive Trash does not necessarily result in immediate permanent deletion. Google Drive’s own recovery and deletion procedures may apply.

Where legally appropriate, clients may request earlier deletion of their project files.

Invoices, transaction records, service correspondence and other business records may have separate legally required retention periods.

Clients should retain their own copies of completed deliverables.

9. Google Drive and File Transfers

We use Google Drive for client project storage and may use agreed file-sharing methods to receive or deliver recordings and completed work.

These services may process information outside South Africa.

We aim to use appropriate account permissions, controlled sharing and access restrictions.

Clients should avoid making confidential project folders publicly accessible.

Where required, international transfers will be supported by an appropriate legal basis and safeguards.

10. Email Marketing and aweber

We use aweber to manage email subscriptions and marketing communications.

When you subscribe, we may process your name, email address, subscription preferences and relevant engagement information.

We use this information to deliver requested resources, newsletters, educational information and promotional messages where legally permitted.

Marketing consent is separate from consent or information necessary to submit a service enquiry.

Subscribers may unsubscribe through the link included in marketing emails.

We may retain limited suppression information to honour unsubscribe requests.

AWeber may process subscriber data in jurisdictions outside South Africa, subject to applicable arrangements and safeguards.

11. Payments and PayPal

We currently use PayPal for applicable customer payments.

When you make a payment, PayPal processes payment information under its own privacy and security arrangements.

We may receive limited transaction information, such as payment confirmation, payer details, amount and transaction reference, to fulfil orders and maintain business records.

We do not intentionally collect complete card details through our service enquiry forms.

PayPal’s privacy practices are described in its own privacy notices.

12. Cookies, Website Functionality and Tracking

Our website may use cookies necessary for WordPress functionality, account sessions and security.

We currently do not intentionally operate a separate website analytics or advertising-tracking system.

However, WordPress, hosting services and installed plugins may use technical cookies or collect operational information.

We will review these technologies periodically and update this policy if tracking, analytics or advertising services are introduced.

Where required by applicable law, we will obtain appropriate consent before setting non-essential cookies or similar technologies.

Visitors may also manage cookies through their browsers.

13. Third-Party Providers

Depending on the service requested, personal information may be processed by:

  • D9 for website hosting.
  • Google Drive for client file storage.
  • AWeber for email marketing.
  • PayPal for payment processing.
  • WordPress and its installed components.
  • Approved external AI service providers where authorised.
  • Other contractors or specialists engaged for agreed work, where necessary.

We aim to share only information reasonably necessary for the relevant purpose.

Where legally required, appropriate contractual and technical safeguards will be maintained with providers processing information on our behalf.

14. International Transfers

Social Obelisk (Pty) Ltd operates from South Africa but may serve customers internationally.

Some providers, including Google, aweber, PayPal and authorised AI services, may process information outside South Africa.

Where applicable, we will assess international transfers under POPIA Section 72 and relevant GDPR provisions.

Appropriate protections may include recognised safeguards, applicable contractual arrangements, lawful transfer mechanisms or another permitted basis.

15. Retention of Other Business Information

We retain information only for as long as reasonably necessary for its lawful purpose, subject to applicable obligations.

Different retention periods may apply to:

  • Customer enquiry records
  • Newsletter subscriptions
  • Transaction and accounting records
  • Tax documentation
  • Contracts and correspondence
  • Website security records
  • Client project files

The 30-day project-file policy does not automatically apply to all business records.

16. Your Privacy Rights

Subject to applicable law, you may have rights to:

  • Request access to your personal information.
  • Request correction of inaccurate information.
  • Request deletion where legally appropriate.
  • Object to certain processing.
  • Withdraw consent where applicable.
  • Unsubscribe from marketing.
  • Request information about how your data is handled.
  • Lodge a complaint with a competent supervisory authority.

Where GDPR applies, additional rights, including portability and restriction of processing, may be available.

Requests should be directed to sueeneumann@gmail.com.

We may request reasonable identification before processing a request.

17. Children’s Personal Information

Our services are primarily intended for adults.

We do not knowingly collect children’s personal information without an appropriate lawful basis or required authorisation.

If recordings contain children’s personal information, clients must notify us in advance and establish the necessary authority and safeguards.

We may decline projects where appropriate protection cannot be established.

18. Security Incidents

If we become aware of unauthorised access, loss or disclosure affecting personal information, we will investigate the incident and take appropriate action.

Where required by POPIA, GDPR or other applicable law, we will notify the relevant authority and affected individuals within the required legal framework.

19. External Websites

Our website may link to external websites, training platforms, affiliate offers and other resources.

Third-party websites operate under their own privacy policies.

We encourage visitors to review those policies before submitting information.

20. Changes to This Policy

We may revise this Privacy Policy to reflect changes to our services, systems or legal obligations.

The latest version will be published on this website with an updated date.

Where required, we will provide additional notice or obtain consent for material changes.
